Planned Maintenance Alerts — Notify Staff Before Downtime

Planned maintenance windows are easier to manage than incidents — but they are still a communication problem. You know exactly when systems will go offline. The challenge is making sure every affected employee knows too, in time to save their work and adjust their plans.

Notifiier is being designed to make maintenance communication as low-friction as possible: schedule the alert, confirm your targets, and every affected employee's desktop gets the message — whether or not they're watching their email.


Why email does not solve maintenance notification

  • Maintenance emails get filed, filtered, or read days later
  • Employees who miss the email only find out when the system goes offline
  • IT has no proof that users were warned before the maintenance window started
  • Repeat notifications ("reminder: 2 hours to scheduled downtime") are manual work

How planned maintenance alerts work in Notifiier

Notifiier is being built to handle scheduled maintenance communication in three stages:

1. Advance notice

Set an alert 24 or 48 hours before the maintenance window. Every targeted employee sees a desktop notification: "Scheduled maintenance on Saturday 22:00–02:00. Save your work and log off before the window begins."

2. Countdown reminder

A second alert fires 1–2 hours before the window. Employees who were out of office for the advance notice still have time to act.

3. Maintenance start and end

When the window begins, Notifiier can push a start notification and update the status page. When maintenance is complete, a "systems restored" alert confirms everything is back to normal.


Targeting: who needs to know?

Not every system affects every user. Planned maintenance alerts in Notifiier can be targeted:

  • By machine or user account (individual targeting)
  • By department or building (for facilities-linked systems)
  • By AD group (only users who access the affected system)
  • By running application (users who have the affected application open at the time of the alert)

Delivery logs and read receipts

For audit purposes — and for the post-maintenance conversation when someone claims they "didn't get the memo" — Notifiier is designed to log every alert delivery with a timestamp and an acknowledgement record per machine. The evidence is there when you need it.
